Understanding Invoice History
The Invoice History section in StatsDrone displays all invoices created, including key details such as the date you generate each one of them. However, certain information (e.g., payment status or due date) may require manual updates or additional steps to view.
How to create an invoice
Set up your invoice details
Navigate to Settings > Account > Invoice Generator Details.
Fill in all required invoicing details (e.g., business name, address, tax ID, etc.) and click "Next".
You will only have to do this once because the information will auto-populate when generating new invoices.
Generate the Invoice:
Go to the Affiliate Program Report for the program you want to create an invoice for.
Click on the Edit Menu, then select Invoices > Generate Invoice.
Some fields will auto-fill based on the details entered in the Invoice Generator (see prior step). Fill in the details of the invoice you want to create and click "Next".
Best Practices for Invoice Management
Regularly Update Payment Status: Manually mark invoices as paid and input the payment date to keep your records accurate. To do so, go to the Invoice Generator History or to the Invoice section of the program you are working with and check the corresponding box.
You can also add notes that are only visible to you inside the app to remind you of key information regarding a specific invoice.
Cross-Check with Bank Records: Verify payment dates against your bank statements before updating the Invoice History.
Save Invoice PDFs: Always download and store invoice PDFs for your records, as they contain critical details like due dates.
Perform Monthly Reviews: Review your Invoice History monthly to ensure all invoices are correctly logged and paid.
Contact Support for Issues: If you encounter discrepancies, please reach out to us so we can investigate the problem and help.
Common questions
Is it possible to set a Backdated Due Date?
Yes! If you want to create an invoice from a prior date, follow these steps:
Generate an invoice as you always do.
On the final page of invoice creation (Invoice Item List), locate the Invoice Date field.
Input the desired due date.
Review the information
Save or download the invoice.
Note: The invoice creation date is automatically set to the current date, but the due date can be customized as described above.
Why is the invoice date in the Invoice History different from the date on the PDF invoice?
The platform allows you to set a backdated due date for invoices, but the creation date reflects when the invoice was generated. That means the date shown in the Invoice History is the creation date of the invoice and the date on the PDF invoice is the due date you set during invoice creation.
Why doesn’t an invoice with a specific due date appear in the Invoice History?
The Invoice History filters invoices by their creation date, not their due date. To confirm the due date, download the invoice PDF from the Invoice History and check the due date listed there.
How to mark an invoice as paid?
If the Paid Date field in the Invoice History is blank, it means the payment status has not been updated.
How do I know if an invoice has been paid?
Go to your Invoice Generator History and check if the invoice is marked as paid. You can also find this information by going to the homepage > Program > Edit > Invoices. There, you’ll see a list of invoices generated for that program and can identify which ones are marked as paid.
How to mark an invoice as paid?
Find the invoice in the Invoice History.
Check the Paid box.
A calendar will appear, allowing you to select the date the payment was received (tip: cross-check with your bank records if needed).
Save the changes.
Can I edit an invoice?
Yes. To edit an existing invoice, please follow these steps:
Search on the home page for the program.
Click on “Edit” and a new tab will open.
Click on the column that says “Invoices”.
Identify the invoice you want to edit and click on the three vertical dots on the right.
Select the “Edit invoice” option, and a form will open that looks the same as the one used for “Generate Invoice”. However, it will be pre-filled with the data from the already created invoice.
Make the changes you need and click the Save button to apply and save the updates.
